Complimentary Services We know what you're thinking: "How is it possible that your services are complimentary? You must increase the pricing or something!?!" Our hotel site selection research, contractual negotiations, and event detailing will always be complimentary to you! We are compensated by a placement fee paid by your chosen hotel; similar to a commission that a travel agent receives. It is always stated in your contract that the negotiated room rates have not been increased to reflect this placement fee. In addition to our standard complimentary services as outlined above, we also provide additional ones for which the majority of other site selection companies charge substantial fees or completely outsource. Assistance and/or complete management of Food and Beverage Recommendations/Selection, Audio-Visual Contracting, and Banquet Event Order Management are additional complimentary services we provide upon request, regardless of the size of your event. In addition, the following services are available through our company at nominal costs! Managing the contracts of over 200 events on an annual basis (which represent millions of dollars in revenue at venues throughout the world) allows us to negotiate discounted group rates and concessions for your organization. We routinely get group rates well below published website rates and BTS (Business Travel Sales) rates. This cumulative buying power gives us leverage to negotiate the best possible rates, concessions, and overall hotel offer that addresses your “Hot Buttons” and “Must Haves” for a specific program. Documented and itemized costs savings for each contract we negotiate will be provided to you.

Unlike other event planning companies, The Meeting Designers does not have any Preferred Partnership Agreements or additional/advanced commission incentives with hotel chains. Therefore, we will offer you objective and unbiased options that best suit your vision and event. Time Saver We remove the time-consuming and hassling administrative work from your desk so that you can focus on other responsibilities, such as your attendees and core program content. A dedicated Account Director will be your single point of contact and one-stop-shop from start to finish. Customized availability summaries providing you with information at your fingertips will be delivered in hard copy or via email. We will handle the proposal process, collecting and compiling availability, answering of emails from hotels and vendors, arrangement of site inspections, and contractual negotiations. From a hotel breaching a contract to a last-minute change to your event, we will step in to work with the venue on an immediate resolution. When you dial 911, we handle your emergency!
